Sports Development Coordinator, Erie Sports Commission

Reports To: Executive Director, Erie Sports Commission
Duties: The Sports Development Coordinator plays a key role in the attraction, retention, planning, and execution of sporting events that generate overnight visitation and economic impact for Erie County. This position manages event lifecycles from prospecting and bid development through event operations, post-event evaluation, and stakeholder follow-up.
Responsibilities
Business Development and Event Management
- Conduct market research and analyze industry trends, event calendars, facility availability, and competitive destinations to develop targeted sales strategies.
- Research, prepare, and present bid documents for proposed events. Focus on events that require minimal financial risk to the ESC.
- Negotiate and manage all contracts for events, facilities, vendors, etc. Make recommendations to Executive Director for changes prior to legal counsel review and approval, if necessary.
- Communicate and work with event rights holders to ensure ESC fulfills its obligations as a host partner and sponsor.
- Oversee sponsor fulfillment, when required.
Administration
- Manage all ESC programs and services to ensure all program objectives are met.
- Ensure compliance with all contracts, agreements, and regulatory requirements.
- Oversee the operation of the IDSS web platform as it relates to ESC activities. Includes the creation of RFPs, all necessary tracking and calculations.
- Calculate the estimated economic impact of all ESC events using Destinations International impact calculator.
- Manage the collection of data through event surveying and Zartico software.
Fiscal
- Work closely with the Executive Director in managing bid pool funding.
- Develop budgets for individual events, programs, and services. Closely monitor expenses on all ESC events.
- Ensure effective audit trails by providing proper internal request documentation for all expenditures. Review event expenditures for accuracy and recommend approvals.
Personnel
- Demonstrate positive leadership characteristics to inspire staff to meet and exceed standards.
- Assist in hiring interns and recruiting volunteers.
- Manage and assign the day-to-day event related responsibilities for the intern to ensure a positive outcome.
- Serve as liaison to local hotel general managers and directors of sales.
Public Relations
- Represent the ESC at tradeshows, conferences, sales missions, and industry meetings.
- Maintain a positive working relationship with all stakeholders: event rights-holders, facilities managers, national governing bodies, hoteliers, vendors, etc.
- Attend assigned community organizations’ meetings where beneficial for the ESC and the community.
- Maintain active involvement as an executive or committee member with PA Sports.
Knowledge/Skills/Training
- Exceptional written and verbal communication skills.
- Experience working in the areas of marketing, communications, or media.
- Working knowledge of Microsoft Office and other web-based productivity platforms.
- Ability to take on multiple tasks with creativity, accuracy, enthusiasm, and attention to detail.
- Bachelor’s degree in business, marketing, sports management, or related field, or equivalent combination of education and experience.
- Familiarity with the sports tourism and events industry strongly preferred.
